My eBay Selling Template (in Microsoft Excel)

I’m still in the midst of listing everything I need to sell on eBay… man it’s a lot of stuff I’ve been hoarding. I’ve decided to share my eBay selling template – it’s nothing spectacular, just something I whipped up in Microsoft Excel to help organize and automate selling a large number of items. Hopefully others can find it useful. You can download it here – MyMoneyBlog_EbayTemplate.xls. Here’s a screenshot (click to enlarge) and some instructions:



I’ve made the columns go pretty much chronologically in the order of selling an item on eBay.

Item – Brief description of item.
Pic? – Have you taken a picture yet? (Y/N pull down menu)
Desc? – Have you written up the description yet? (Y/N)
Listed? – Is it listed on eBay? (if yes, list Auction #)
Sell Price – What was the final selling price?
S&H – Shipping & Handling Charge
eBay FeesAutomatically calculated based on Sell Price
PP Fees – PayPal Fees, also automatically calculated (Standard Business Account)
Ship Fees – Actual shipping cost
Net – Net amount received for item after fees
Status – Unpaid/Paid/Shipped (drop-down menu)
Date – Date of most recent Status
Payment – Method of payment (PayPal, Money Order, etc. in drop-down menu)
ebay ID/Name – Buyer information

Note that the running totals of things are at the top and highlighted for quick reference. Feel free to change things around to fit your own specs, I’ve tried to make it as intuitive as possible. For example, if you are trying to buy and sell for profit, you could add in your item costs. Any feedback is welcome as well.

  1. I also put in the ship-to address and a field for tracking number if you use a method of shipping that has it (USPS Priority Mail has free tracking if you print the labels online, and the flat rate envelopes are pretty good at $3.85)

  3. Hey thanks so much for this. i dont know why someone hasn’t made a little program for post auction management that does this.. sigh. But i think paypal fees have changed. or else they’re charging me way too much. how do i change the formulation to get the right fees? or else, the data is all skewed.

  4. ah i figured it out. the paypal transaction fees in the workbook don’t take the shipping fees charged into account, when the totals sent to paypal by buyers do. So it’s calcutating pre-=shipping fee totals – which doesn’t really help. is there are work around for this?
    i.e. item costs $10, shipping costs $10, so you get $20 from buyer – and paypal gets a portion of that. But in your chart, it would only see $10 and paypals share of $10 as the paypal fee – instead of the $20. i hope i explained this clearly. is there a workaround?!

  6. I forget, but it should, I have made some changes to it since posting it here though…

    I should warn everyone that if you don’t anything about Excel, it is easy to screw up some cells and mess it all up. Some basic knowledge of how Excel works and how it references other cells is required. And that way, you can customize it to your needs.

  11. why everytime i try to put an item# in a certain cell it comes back like this: 1.4031E+11? its really annoying and im not sure why its doing this. I am not a stud with excel so please could some one give me some assistance.

  12. I am having a hard time with the equation for the net income, pp fees, and ebay fees. they are doing it by themselfs like you said it would. what do i have to do to make this work?

    Try making the cell larger by dragging it, it doesnt look like you have enough room to display your output.

  14. I like your template, however I have spent the past 48 hours on one …straight.
    eBay has since made a few xhanges that not a single developer has touched.
    Simply because ..if you got complaints your template was to complicated, to properly analize your st% & ftr fees 25/75 and then combine all three aimals in to one serious form especially if you can work it puled straight out of eBay’s lacking reportrs…

    I’ll keep posted on how it turns out!

  15. I have a template I would like to sell but don’t know where I can sell it since its a Microsoft OneNote template. Seems everyone wants .exe or PDF files for upload. Have any suggestions for selling this document for me? I’m sure it would sell but the file types are holding me back!

I am not great with making formulas my it # is coming out wrong and I tried to change the format and that worked but I am not getting any of the fees to come out. the top line does but when I add my items it dose not do the sum if any one could help that would be great.     The only change I made was, for anyone else reading this, to the formula in Column G, to reflect updated fees (this is for anyone using this template in 2015).

      • Double click on column G. You will see a formula. Delete it and put in = (E7+I7+F7) * 0.10
        The reason for the change is because eBay fees are now 10% of total sell price. What that new formula does is add total sell price to shipping + shipping & handling to get final total sell price. Then it multiplies by 10% to get the eBay fee.

  22. For me personally and new to selling on eBay, I found your spreadsheet so very easy to use. I did set up different spreadsheets for type of item selling…then put each sheet in my binder under appropriate tab.
    JEWELRY; ANTIQUES; CLOTHING, etc. It doesn’t give you a grand total for everything combined, but it makes it easier for me at least at this time to keep track.

  23. This is a great base spreadsheet.. unless you know Excel format and equations you can easily mess it up.. if you do know anything about excel you know you can lock the cells so you do not change them…

  27. Great starter template that can easily be customised if you have MS Excel skills but it does need reformatting for use in the UK. The formulas for the fees need updating as these have changed since the template was posted online. Thanks for sharing for FREE and I’ve added a few pointers below to help any UK users after reading the comments to this post.

    UK users

    * To calculate the running totals and the Ebay / PayPal fees correctly reformat the cells containing those values to UK Currency (highlight cells, right click, format cells, currency)

    * Ebay Fees = 10% of the Final Value Amount = Sell Price + Postage (Final Value Amount * 0.1= Ebay Fee)

    *PayPal Fees = If PayPal Income is £1,500 per month = 2.9% + £0.20p per transaction (Final Value Amount + 0.2 * 0.029)

  28. Your eBay Selling Template is good to use. What is missing is COG (cost of goods). Should have this added between Listed and Sell Price for Profit/Loss spreadsheet.
